In this video series, we ask our consultants about customer solutions they have implemented that they are proud of. Competence lead software & integration Gianni Coenen explains how to merge different documents in SAP in this video.
What was your client’s challenge?
For legacy reasons, the client still had a number of documents outside the SAP system. These were the work instructions for the production floor. Details had to be added to these, such as a work order number, so that the users always knew which order their work instructions referred to. This was also a requirement of the ISO standard that had to be followed.
How did you approach this challenge?
The documents had to be reused and could not be modified in SAP. This presented us with the challenge of creating a template for these documents. This is an overlay that we place over the existing documents. This allows us to use a coordination system to fill in data on an existing PDF. This allows the customer to use the documents in the S/4HANA system. For this solution, we chose a side-by-side extension in BTP. This allows for flexibility and adheres to the ‘keep the core clean’ principle.
Stay ahead in your industry with SAP S/4HANA
Every day is different in your organisation. Customer wishes change constantly, business processes require continuous coordination and far-reaching global events can affect your organisation at any time. To keep these dynamics in check, your organisation must be agile and resilient.

What was the result of this solution?
The customer can now reuse documents and sees work instructions coming out of the printer that have been merged with SAP documents. These documents contain the information from SAP. Each document now has a stamp with the requested data. This guarantees traceability and we also comply with ISO standards.
